Working for the School of Public Health

The School of Public Health (SPH) is in the process of expanding its undergraduate course offering. SPH successfully launched SPH 200 in the 20234/24 academic year, with over 700 students enrolled. SPH will continue this success by adding a winter semester class of SPH 200, as well as an additional 2 300-level courses. In the 2025/26 academic year, another 2-3 300-level courses will added.

Position 

Reporting to the Educational Programs Lead and working closely with the Associate Dean, Education, the Undergraduate Programs Advisor will support enrolled students, teaching faculty, teaching assistants, enrollment projections, annual reporting, and all committee and administrative operations related to these processes. The incumbent may be the first point of contact for potential students, registered students and faculty members with respect to all undergraduate courses.

Duties 

  • Advises instructors, staff, and faculty members on undergraduate-related issues, including grading and academic dishonesty.
  • Processes student academic record changes (eg. registration, grade changes, independent studies, etc).
  • Identifies and refers students at risk. Coaches students to identify problems and possible strategies/resources. Refers students to other campus resources.
  • Communicates regularly with students to keep them informed of department and campus activities and updates.
  • Advises students and applicants of their rights and process under the Code of Student (or Applicant) Behavior, referring all affected students to the Ombud service.
  • Identifies areas for improvement in scheduling practices to ensure responsible course planning.
  • Support the curriculum review and planning process, including Calendar Change forms. Ensure the Calendar is accurate.
  • Provides support to various educational committees in the School; prepares and distributes agenda and meeting minutes.
  • Tracks, files, monitors and reports course outcomes and quality metrics.
  • Participates in events such as recruitment, orientation, and convocation. Represents the School at student recruitment opportunities, as appropriate and feasible.

Qualifications

  • Minimum of a Bachelor's degree; equivalent combinations of education and experience will be considered
  • 2-3 years of related experience in a large/complex organization, which includes undergraduate student experience, with preference experience in a post-secondary educational environment
  • Familiarity with University of Alberta Registrar policies and procedures is an asset
  • Experience working with Campus Solutions
  • Excellent computer proficiency in all Microsoft (Word, Excel, PowerPoint, etc.) and Google (docs, forms, sheets) applications required
  • Excellent communication (verbal and written), organizational and attention to detail skills
  • Ability to multi-task and work under challenging time constraints
