Position 

This position is responsible for various aspects of the MD program Curriculum Administration. This includes organizing curriculum delivery, courses, schedules, booking of facilities, liaising with students, faculty, and community volunteers, and teaching instructors with a primary focus on interfacing with coordinating educator development, remuneration and recognition.

Duties 

Educator development, remuneration and recognition 50%

  • Responsible for completing a mapping exercise each year to determine what departments/divisions teach in UME and define educator needs.
  • Coordinates recruitment efforts across the MD Program and reports results to the Program Director.
  • Working closely with the Director, Teacher Support, ensures that those who are teaching in the MD program receive required professional development to teach their respective sessions. Maintain a database record of educator development activities that have been completed.
  • Ensures that educators are appropriately recognized and remunerated.
  • Provides departmental chairs and divisional directors with a summary of teaching activities per educator once teaching is completed at the end of each academic year.
  • Regular reconciliation and maintenance of the UME instructor list with the FARM database.

Instructor / Facilitator Support 15%

  • Follows up with instructors on a weekly basis to confirm their teaching assignments.
  • Addresses any scheduling conflicts and resolves them appropriately.
  • Assists with assessment needs, including OSCE, TBL’s, written exams.

Transaction processing 15%

  • Ensures that all individuals are paid correctly, in a timely manner and provides follow-up where necessary.

Meeting/Planning support 10%

  • Prepares for course committee meetings, pre-clinical committee meetings, tutor training sessions, and working group meetings.
  • Attends and prepares minutes for other meetings as required.

Others 10%

  • Performs administrative tasks that directly impact daily operations and organizational efficiency.

Minimum Qualifications

  • Undergraduate Degree in Education; a combination of education and/or experience will be considered.
  • Minimum of 5 years administrative experience in a post-secondary educational setting supporting student services, program delivery, learning management systems, and teaching and learning.

Preferred Qualifications

  • Must be highly organized and efficient.
  • The individual must also have a high level of customer service as they are constantly in communication with students, physicians, and other key clients.
  • Must be able to work independently.
  • Extensive knowledge of computers, educational technology, web page maintenance, and proficiency in Microsoft Office and Google Suite.
  • Ability to prioritize multiple tasks and be able to complete prior to the deadline.
  • Preference is given to those with experience working in a post-secondary setting.
  • Experience in medical education is an asset.
