Position 

This position is responsible for various aspects of the MD program Curriculum Administration. This includes organizing curriculum delivery, courses, schedules, booking of facilities, liaising with students, faculty, and community volunteers, and teaching instructors with a primary focus on the management of visiting student electives and providing coverage for outgoing student electives.

This position is the primary point person for all incoming visiting medical students.

Duties

  • Responsible for the Visiting Students Elective Program and management of the Association of Faculties of Medicine in Canada (AFMC) portal. This includes coordinating with up to seventy departmental contacts to support processing of application requests to the various medical disciplines.
  • Responsible for processing several hundred incoming Canadian MD student visiting elective applications per year.
  • Provides primary oversight for the function and efficiency of the AFMC student portal applications.
  • Makes arrangements for International medical students arriving to the U of A as part of official exchange agreements. These may include arranging for placements from St. Andrews University, Karolinska institute, University of Graz, Zhejiang, Munich, and the International Federation of Medical Students Associations (IFMSA). 
  • Liaises between visiting students and the College of Physicians and Surgeons of Alberta (CPSA) to ensure proper maintenance in the Educational Registrar.
  • Provides backup coverage to the MD program electives administrator in managing student clinical placements within Alberta or elsewhere; and home school verifications.
  • Organizes and recruit faculty to coordinate special sessions such as site visits to facilities throughout Edmonton and surrounding areas, including addiction centers, and long-term care facilities; that allows students to interact with staff and patients; liaise with site contacts to finalize details pertaining to visit(s) and notify students of same.
  • Ensures copyright logs are completed and appropriate permissions are received for inclusion of articles/journals in the course manual.
  • Maintains accurate and up-to-date course information and advises students and/or instructors of same.
  • Performs administrative tasks that directly impact daily operations and organizational efficiency.

Provision of Access to Clinical Systems (Netcare /Connect Care):

  • First point of contact for visiting elective (350-400 students) and ~650 U of A MD students in relation to provisioning for clinical systems access
  • Coordinates with Transition Coordinator and Alberta Health Services regarding clerkship

University of Edinburgh:

Manage all aspects of clinical placements for the Alberta program A990 related to St Andrews University and the University of Edinburgh

International Exchange Students:

Ensures that exchange contracts and agreements are current and in order and that current processes are followed according to the exchange agreements that are in place

  • Arranges electives for the exchange students by liaising between the electives coordinator, director of international programs, and department contacts
  • Works closely with the liaison from the students' home school to ensure documentation and credentialing is completed

Minimum Qualifications

  • Undergraduate Degree in Education; a combination of education and/or experience will be considered.
  • Minimum of 5 years administrative experience in a post-secondary educational setting supporting student services, program delivery, learning management systems, and teaching and learning.

Preferred Qualifications

  • Must be highly organized and efficient.
  • The individual must also have a high level of customer service as they are constantly in communication with students, physicians, and other key clients.
  • Must be able to work independently.
  • Extensive knowledge of computers, educational technology, and proficiency in Microsoft Office and Google Suite.
  • Ability to prioritize multiple tasks and be able to complete prior to the deadline.
  • Preference is given to those with experience working in a post-secondary setting.
  • Experience in medical education is an asset.
