This position is a part of the Association of the Academic Staff of the University of Alberta (AASUA).

In accordance with the Temporary Librarian, Administrative and Professional Staff (TLAPO) Agreement, this position offers a comprehensive benefits package found on our Benefits Overview page and annual salary range of $63,090 to $105,189. This position has an initial appointment of 2 years.

Location - This role is in-person at North Campus Edmonton.

Working for the Faculty of Nursing

A member of the College of Health Sciences, the Faculty of Nursing has 5 CASN accredited programs (BScN: Collaborative Program, Bilingual Program, After Degree Program and Honors Program totaling 1441 students; and a Master of Nursing - Nursing Practitioner - Advanced Clinical Focus with a total of 97 students). Our partners include Faculté Saint-Jean, Red Deer Polytechnic, Keyano College (Fort McMurray) and Northwestern Polytechnic (Grande Prairie). Other master's programs include other streams within the MN (Leadership, Education, and Research), and the Nursing PhD program with a total graduate student body of 201.

There are 35 Faculty, 92 Academic Teaching Staff (ATS), and 66 other employees (operating and research-funded). The Faculty of Nursing is located primarily in the Edmonton Clinic Health Academy (ECHA).

Position 

The Faculty of Nursing is seeking an effective and experienced manager to lead the administrative services team. This role is pivotal to the efficient delivery of various support functions across the faculty. If you are a proactive leader with a passion for excellence, we want you on our team.

Reporting to the Faculty General Manager, the Manager, Administrative Services oversees the administrative operations of the faculty based on an understanding of the faculty mission and operations. The incumbent will oversee the faculty-level administrative support team which provides human resource admin services, finance and research admin services, and administrative coordination and support to the Faculty.

Direct reports include: Administrative Coordinators (2), Research Financial Analyst, Research IT Advisor, and Operations Coordinator.

This position works on-site in the Edmonton Clinic Health Academy 5 days a week.

Duties 

  • Leads the administrative services team, including hiring, orientation, training, work assignments, performance optimization, appraisals, and team workload, ensuring team members are supported and engaged to meet the faculty's needs.
  • Manages HR processes, including recruitment, FEC and ATSEC, annual reviews, reporting, appointments, terminations, payroll, adjunct application/renewal, and onboarding/offboarding.
  • Oversees finance processes such as petty cash and reconciliation of salary and benefits.
  • Collaborates with HR Partner on complex HR, employee relations, and labor relations issues to ensure compliance with  Collective Agreements, institutional standards, legislative requirements, and UAPPOL.
  • Manages policy, procedure and process development for administrative service areas to provide consistent and effective support.
  • Develops efficient workflow processes, redesigning as needed for continuous improvement and exceptional service.
  • Provides leadership, guidance, and direction for situations requiring investigation or response, ensuring efficient administrative, HR, and financial services.
  • Supports annual strategic and operational planning activities; works with FGM/faculty leadership on specific projects and initiatives as required
  • Other duties and projects as assigned 

Qualifications

  • Bachelor’s degree or equivalent; commensurate combinations of education and experience may be considered.
  • Minimum of 5 years of related experience with a proven track record of competency and effective leadership
  • Commitment to the incorporation/inclusion of EDI and Indigenous perspectives and approaches.
  • Strong interpersonal communication skills (e.g. emotional intelligence & self-awareness).
  • Ability to critically and strategically analyze and evaluate information and situations to provide informed advice.
  • A communicator who listens effectively, has excellent written and verbal skills and communicates in a manner that is accurate and easy to understand
  • Develops and/or maintains professional, positive, and collaborative working relationships with both internal/external clients and stakeholders at all organizational levels.
