Working for the Office of the Dean of Students and the Student Academic Success Centre

The Dean of Students supports all students  -- undergraduate and graduate  -- in the pursuit of academic and personal success. The Dean of Students collaborates with faculties, offices, and services across all campuses to deliver effective programming and provides leadership on university policies and initiatives. 

The Office of the Dean of Students coordinates many services that strive to create diverse and inclusive support in all stages of the student experience, including:

  • academic resources
  • career and professional development,
  • health & wellness services
  • and community resources

Working as an Administrative Assistant

Reporting jointly to the Learning Strategies Director within the Academic Success Centre, the part-time Administrative Assistant is responsible for a variety of administrative and monitoring activities. These include: processing program registrations, managing inquiries, providing service information and referrals, assisting with program preparations and materials, processing fees, and maintaining administrative records and systems. This position provides support for the Learning Strategies unit and its staff and may also provide core support for other areas within ASC as needed.

Note - There may be a short writing exercise as part of the interview process. 

Duties

  • Greets and assists students, University staff, and other visitors, assisting them with Learning Strategies services, and registration options including inbox management
  • Maintains promotional materials and general communications to other support services
  • Coordinates facilities maintenance and requests for furniture, office equipment, and office supplies including budget-tracking and management
  • Provides administrative support to the Learning Strategies Director, other ASC staff
  • Performs other related duties as necessary

Qualifications

  • Certificate/diploma in office administration preferred; high school credential required (additional postsecondary certification and knowledge of university setting an asset)
  • Possesses strong interpersonal skills to interact knowledgeably, comfortably, positively, and respectfully with diverse individuals with a broad range of credentials, abilities, and literacy/language levels
  • Ability to triage students who are in distress
  • Superior verbal, written, and interpersonal communication skills required
  • Skilled at  coordinating  and prioritizing multiple tasks in a fast-paced environment
  • Effective organizational skills with strong attention to detail
  • Motivated to work independently and as part of a collaborative team
  • Proficiency in the Microsoft and Google Suite of products required
  • Ability to adhere to strict confidentiality guidelines and to University regulations
  • Knowledge of U of A policies, faculties, and services is an asset
