Working for the Faculty of Law

Founded in 1912, the Faculty of Law is the oldest law school in Western Canada. Faculty members of the University of Alberta, Faculty of Law are recognized nationally and internationally as leading scholars and teachers and lead by example in their service to the university, legal and civic communities. The Faculty enrolls approximately 525 Juris Doctor students and operates a robust graduate program. The Faculty of Law is also home to four research groups that contribute research, ideas, innovation and policy expertise to important areas of public concern: the Wahkohtowin Law Governance Lodge, Health Law Institute, Centre for Constitutional Studies, and Alberta Law Reform Institute.

Position 

This position supports Law's extensive moot program. The Academic Support Coordinator books all student travel funded by the Faculty of Law as well as student travel funded by other sources. This position provides support to faculty members in Law by assisting with research, grant and tenure applications and research events.

The incumbent also assists new faculty members with the setup of their faculty office and manages office start-up grants provided by Law. As well, the incumbent supports Law Faculty Council (LFC) and Law standing committees, including the preparation of LFC agendas and minutes, ensuring motions are actioned and updating the LFC Manual, ensuring it aligns with General Faculties Council (GFC) policies and procedures.

Duties 

  • Works closely with Legal Research and Writing Director to support Law's extensive Moot program by organizing Law off-campus and in-house moots, including processing moot coach appointments, distributing material, maintaining records, drafting high-level correspondence to judges and judicial clerks, booking travel for moot coaches and students and preparing travel and expense claims, tracking expenditures, and organizing moot events
  • Arranges student travel supported by the Faculty of Law and funded from other sources, including booking airfare and accommodation, processing expense claims and reporting on expenditures
  • Responsible for organizing and maintaining Law Faculty Council (LFC) records and communications, prepares and circulates agendas, minutes and meeting materials, and takes minutes at LFC meetings, ensures passed motions are actioned, and policy manuals are updated as required by General Faculties Council (GFC), which involves liaising with the Calendar production team and various GFC committees
  • Manages report material for the Faculty of Law's Standing Committees, including the Curriculum Committee, Visiting Speaker Committee and other Standing Committees as required and supports the Visiting Speaker Committee by arranging travel for guest speakers and processing expense claims
  • Supports Law faculty members by providing assistance with tenure applications, arranging lectures and other presentations, updating content and formatting curriculum vitae, assisting with the creation of presentations for national and international conferences, creating and distributing course materials (editing and formatting exams and PowerPoint presentations and editing syllabi for clarity, formatting, and adherence to GFC standards), and assisting with special events for faculty members
  • In coordination with the Law Curriculum Coordinator and Webmaster, ensures Faculty of Law exams run smoothly and accurately, assists with coordinating exam viewing at the end of each term, and ensures exams are stored securely and destroyed in accordance with University guidelines
  • Assists with recruitment and appointment of two casebook students annually, acts as a point of contact for the casebook students and faculty and sessional instructors accessing casebook student services
  • Supports research by assisting with editing and formatting peer-reviewed academic journal articles, conference submissions, presentations, grant proposals, and other research materials, assisting faculty members with grant applications by reviewing and formatting research proposals (may assist with budgeting), assisting researchers with grant management by looking up information in PeopleSoft Financials (eTRAC and Researcher Home Page), and working in collaboration with Law's Associate Dean (Research) to promote, collaborate with, and support research initiatives and applications

Minimum Qualifications

  • Bachelor's degree
  • Experience drafting, reviewing and editing written material in an academic setting
  • Experience with PeopleSoft applications, including Financials, Human Capital Management and Campus Solutions
  • Experience with Timbuktu, Ad Astra and TEMS
  • Proficient computer skills including Microsoft Office and Google applications
  • Ability to embrace change, adapt to new information, and work proactively and positively in an evolving organizational context
  • Ability to set priorities and manage changing/conflicting priorities and tight deadlines
  • Ability to take initiative and work independently
  • Ability to work accurately with attention to detail

Preferred Qualifications

  •  University of Alberta institutional knowledge and administrative experience would be an asset
