Working for the Department

The Canadian VIGOUR Centre (CVC) is an Academic Research Organization (ARO) committed to enhancing cardiovascular health. Our centre provides leadership in clinical trials of cardiovascular therapies from study design to manuscript publication, developing selected registries, and informing clinical practice through insights gained from population health data. The CVC is anchored by a dedicated group of internationally recognized thought leaders in cardiovascular medicine and clinical investigation and supported by accomplished administrative and clinical operations teams and experienced biostatisticians, data analysts, and ECG Core Laboratory personnel.

Position 

Reporting to the Associate Director (AD), Operations, the Research Coordinator is responsible for supporting the day-to-day business requirements of the CVC related to proposals, grants and projects. This position will be key to coordinating activities related to financial aspects of research proposals and projects led by the Directors and Faculty at the CVC. Discretion, reliability and trustworthiness are essential requirements given the confidential and sensitive nature of the materials that are the responsibility of this office.

Key Responsibilities include:

  • Providing administrative coordination in business operations, specifically fiscal management related to proposals, grants and contracts.
  • Responsible for interactions, involvement and collaborations within the University of Alberta (UofA) and Alberta Health Services (AHS).

Duties 

Contracts 30%:

  • Assist with the development and negotiation of agreements (needs assessment, proposals, budgets, contracts, service level agreements, etc.) as required, including legal review, contract drafting, and risk assessments.
  • Follow up with legal teams within NACTRC and the UofA Research Administrative Services Office (RAS) to modify and finalize agreements with sponsors.
  • Provides documentation and forms to agencies to meet regulatory requirements.

Finance 50%:

  • Assist in developing budget proposals and justification documentation for granting agencies, industry sponsors, and investigator-initiated research.
  • Manage Principal Investigator (PI) accounts to ensure adequate funding for project activities and resolve outstanding funds post-project.
  • Act as primary contact for responding to sponsor and vendor inquiries.
  • Collaborate with CVC teams and UofA Finance to monitor, analyze, forecast, and report financial positions.
  • Oversee financial transactions across all funding sources.
  • Create financial and final reports for stakeholders, granting agencies, or external funders.
  • Prepare entries and update tracking systems for project revenues and expenses.
  • Review financial transactions for accuracy, identifying and addressing adjustments as needed.
  • Investigate transactions between source systems (AHS and PeopleSoft) to ensure reconciliation and resolve discrepancies.
  • Prepare sponsor invoices, including investigator-initiated, and coordinate with sponsors, AHS, and UofA departments on invoicing and payment matters.
  • Review expense statements for compliance with UofA and AHS policies, correcting errors and corresponding with individuals as required.
  • Prepare regular financial reports.

Administration 20%:

  • Assist in managing students and trainees, including working with internal and external parties to onboard and offboard students and trainees, arranging stipends, and forecasting the impact of students and trainees on resources. 
  • Participates in the preparation and submission of grant applications and ensures timelines and deliverables are met.

Minimum Qualifications

  • Undergrad Degree and/or professional designation, preferably in business management.
  • Minimum 5 years of directly related experience.
  • Financial management skills including, but not limited to written and oral communications, organizational, interpersonal, facilitation, negotiation, and problem-solving skills.
  • Ability to act decisively and to exercise a high degree of initiative and judgment on a wide range of issues.
  • Demonstrated ability to research, analyze and summarize complex issues and communicate results effectively to all levels of management.
  • The ability to work in a professional and ethical manner with professionals within Alberta Health Services (corporate and site-specific), University of Alberta, Government of Alberta, ARO and Industry collaborators and public executives is required.
