Working for the Northern Alberta Medical Program

In order to increase the number of physicians trained in Alberta, particularly in the rural areas, the Faculty of Medicine & Dentistry, University of Alberta is partnering with Northwestern Polytechnic based in Grande Prairie to develop the Northern Alberta Medical Program, a regional campus for the medical school. 

Position 

Reporting to the Medical Education (ME) Expansion Manager, the Program Administrator is a member of the Faculty of Medicine & Dentistry’s Northern Alberta Medical Program’s administrative team and provides dedicated comprehensive support to the ME Expansion Manager, and Regional Academic Lead, Northern Alberta Medical Program as well as occasional support as needed to the Dean of Health at Northwestern Polytechnic (NWP).

This position is based in Grande Prairie.

Duties 

  • Comprehensive administrative and executive support to the ME Expansion Manager, Regional Academic Lead, and Northern Alberta Medical Program.
  • Organizes administrative planning aspects of meetings, conferences, seminars and special events on behalf of the Northern Alberta Medical Program(s) as required. Includes, sending and collecting RSVPs, procuring space, catering and supplies, Initiating purchase requisitions, purchase orders and invoices and initiates vendor payments.
  • Initiates travel and expense claims, performs credit card verifications and reconciliations for leadership when required.
  • Administratively supports the work of multiple committees, assisting with organizing meetings, acting as recording secretary, researching and compiling information and assisting with action items.
  • Liaison with NWP Dean of Health’s Executive Assistant and assist with collaborative projects related to the Northern Alberta Medical Program. 

Qualifications

  • 2yr. post-secondary diploma in Office Administration, Business or related area, equivalent experience may be considered
  • Minimum of 3 years of related, progressively responsible administrative experience, preferably in a post-secondary environment. 
  • Ability to meet deadlines and prioritize work effectively in a fast paced, high-volume environment 
  • Strong organization, accuracy, and attention to detail
  • Excellent spelling, grammar, editing, and proofreading skills
  • Ability to work in an ambiguous environment
  • Ability to work independently with minimal supervision
  • Adaptable, agile and technologically savvy; advanced capability with MS Office suite, Google Applications and virtual meeting platforms
  • Demonstrated ability to adapt and pivot to rapidly changing demands
  • Demonstrated ability to work collaboratively in a team environment while managing competing priorities
  • Excellent interpersonal and communication (verbal and written) skills including strong ability to demonstrate professionalism, confidentiality, and diplomacy
  • Excellent organizational and critical thinking skills
