Working for the Enrolment Services

Enrolment Services is responsible for the management, planning, organizing and directing of all aspects of student records and registration, class scheduling and timetabling, and tuition and fees. This unit handles special registrations and holds faculty-level responsibilities for the Faculty of Open Studies. They manage the academic schedule and the official course record, as well as, coordinate the final exam schedule. Enrolment Services works with Facilities and Operations to manage centrally controlled classrooms, assign space and support space optimization and utilization for classrooms. This unit also ensures that all approved tuition and fees are accurately reflected on the student fee assessment and troubleshoots issues as they arise. Enrolment Services serves all undergraduate and continuing education students and does some work for graduate students.

Position 

The International Specialist reports to the Assistant Registrar, Enrolment Services and in collaboration with the other Specialists, provides functional oversight, and expertise and is a dedicated resource for operations supporting international students in accordance with the University’s policies, processes and procedures. Through an understanding of processes and services, the International Specialist is well-positioned to communicate, facilitate and support services offered by Enrolment Services within an international student context. This is done to ensure that a ‘Student First’ experience is provided to the students of the University of Alberta.

The International Specialist is a subject matter expert on the University of Alberta records, registrations and tuition of international students. The International Specialist has expertise in supporting registrar processes and procedures that support international students as they move from admission to student and through the students’ university careers. They will be the primary lead on processes that are specific to international students which include things but are not limited to: tuition cohort assignment support, tuition guarantee letters and enforcement, international student operational reporting, and will build exceptional working relationships with our international campus partners. They will also support other Specialists through processes that support international students which include but are not limited to student record and registration support. As a result, the International Specialist will be a well-rounded position that is able to support a wide variety of processes and procedures. The International Specialist researches and keeps abreast of policy changes, procedural changes and governance decisions to ensure the Office of the Registrar is well-positioned to support international students.

The specialist is responsible for ensuring they work collaboratively with our other Specialists and Assistant Registrars to provide staff with accurate information on student records policy, procedure and business practices. The Specialist also investigates best practices in service delivery and proactively proposes enhancements to the Assistant Registrar. The specialist is called upon to research topics that pertain to the business of International Students and provide analysis and interpretation of student data. The specialist contributes to the development of performance measures within the unit and assists in the monitoring and evaluation of these measures. The specialist may assist in coordinating activities of the unit and provide expert policy and business knowledge to staff. In collaboration with other Specialists and the Assistant Registrar, the specialist will assist in the overall direction, training, quality assurance, knowledge transfer and sharing to the unit. The specialist coaches develop and provide functional leadership in the area of their experience to a team of unit staff. Related responsibilities include monitoring unit workflow and advising the Assistant Registrar on allocating work among staff, collaborating with the Specialists and Functional Analysts to ensure staff are well trained.

The Specialist is part of the Enrolment Services Leadership Team. This position provides direct support to the Specialist (Fees & Registration), Functional Analyst (Fees) and the Assistant Registrar(s), Enrolment Services.

Duties 

This is an international student-focused position that engages in activities that support our students with a heavy emphasis on the Tuition Guarantee.

The ideal candidate will be an active expert in the tuition guarantee ensuring students are assigned to the correct cohort, admission letters have the correct rates and information, the students' assessments are consistent with their guarantee and fully support the end-of-guarantee processes so that the enforcement of the guarantee is done promptly.

The ideal candidate will be able to support both operational and strategic reporting needs and will be responsible for ensuring that reports to IRCC are done on time and accurately. The staff member understands the reliance of the unit for timely information and will ensure that staff have the operational information to support our international students.

The ideal candidate will support the Enrolment Services team ensuring that as processes evolve and change, they are well-trained and support the more challenging situations that occur. They are responsive to their teammates within the immediate team and across the institution. They will become one of the leading experts on international student records, registrations and tuition assessments.

Minimum Qualifications

  • Bachelor’s degree or a two-year diploma with additional years of experience
  • Two to four years of experience in a service-centred environment, within post-secondary student services with a working knowledge of records management practices and problem-solving approaches
  • Minimum of Two years of Campus Solutions Student Administrative experience within the context of students’ registration, records and fees.
  • Experience with applying University Policy and Procedure
  • Strong client service aptitude and advising skills High attention to detail and analysis skills
  • Excellent communication and interpersonal skills to provide effective coaching, mentorship and guidance to all staff

Preferred Qualifications

  • Existing knowledge of the University of Alberta International Tuition Guarantee
  • In-depth knowledge of Campus Solutions and how registrations and the student record work together
  • High proficiency with Excel and Google Sheets that allow the individual to create and envision enhancements to our work and student data reporting
