Working for the Department

The Department of Obstetrics and Gynecology has five academic divisions, 19 full-time academic faculty members, and over 100 clinical academic colleagues in general obstetrics and gynecology. Our faculty members encompass the full range of academic medicine including Maternal-Fetal Medicine, Reproductive Endocrinology & Infertility, Gynecological Oncology, Reproductive Sciences, and Urogynecology. This accomplished team of educators train medical undergraduate and postgraduate students in the provision of innovative patient care.

Position 

This position is located at the Lois Hole Hospital for Women.

The incumbent develops, coordinates, maintains, and supports the Undergraduate Medical Education (UGME} for the Department of Obstetrics & Gynecology, Faculty of Medicine and Dentistry, University of Alberta. This position works autonomously reporting directly to the APO with minimal direction/Instruction from the Undergraduate Medical Education Coordinator(s).

Under minimal supervision, this position is expected to administer many highly detailed and complex tasks/projects. The UGME Admin Assistant provides support to the Education Coordinator(s) within the Department of Obstetrics & Gynecology. Major areas of responsibility include; management of the Department's Undergraduate Education Office, maintaining the exam and evaluation program, student onboarding, coordination of annual rotations, facilitation of all UGME-related events/meetings, organization of MCQ/OSCE exams, coordination of electives, coordination of Rounds and provide general support.

Duties 

  • Acts as main point of contact for all medical students; liaison between Program Directors/Coordinators and students and other internal/external contacts.
  • Coordinates OSCE (Objectively Structured Clinical Exams) and Multiple Choice Exam for Medical Students.
  • Assists medical students with the completion of internal and external elective applications.
  • Monitor medical students while maintaining UGME logbooks.
  • Books facilities, catering, and standardized patients when needed.
  • Enter Rounds & Journal Club Presentations on Online Rounds Attendance System.

Minimum Qualifications

  • Office Administration Diploma.
  • Four (4) years of senior administrative experience.
  • Two (2) years of experience working with University of Alberta policies and procedures.
  • Two (2) years of experience in a medical environment.
  • Experience in Google Docs; SharePoint; Sitecore; MedSIS; MS Office; and Windows environments.
  • Excellent communication (oral & written) and interpersonal skills.
  • Excellent accuracy and attention to detail.
  • Highly developed organizational and problem-solving skills.
  • Ability to prioritize and meet multiple timelines.
  • High level of tact and discretion; must be able to maintain absolute confidentiality.

Preferred Qualifications

  • The University of Alberta, College of Health Sciences experience is preferred.
  • Understanding of University of Alberta, Alberta Health Services policies and procedures is preferred.
  • Completed post-secondary courses in medical terminology/transcription is considered an asset.
