Location - This role is hybrid with a mix of remote and in-person at North Campus, Edmonton.

Join our amazing team! The Sustainability Council’s (SC) mission is to uplift people and the planet. We are doing this by growing a vibrant community engaged in interdisciplinary teaching, learning, research and active citizenship at the University of Alberta. We host speaking events and conferences, develop and promote curricular programs, support research, provide opportunities for student leadership, and spark interest in sustainability issues. 

Position 

The Project and Administrative Assistant (PAA) is an integral part of the SC team and provides key support for the planning and delivery of SC programs. The PAA’s daily duties will include customer service, administrative work and project support. This is a public-facing, dynamic and exciting role! The PAA is expected to deliver consistent, professional and personable service to the office and the campus community.

Duties 

  • Provide administrative and customer service support for the Sustainability Council office and its staff (includes two Directors, Staff, Interns and Volunteers).
  • Carry out purchasing, track spending, and manage petty cash and all gift cards/incentives.
  • Coordinate maintenance and upkeep of the office and all equipment.
  • Liaise with campus staff (ALES, IST, telecom, distribution, facilities, and campus security) regarding issues, work requests, and inquiries.
  • Manage select onboarding aspects of all new Staff, Interns, and Volunteers.
  • Support and/or coordinate the planning, delivery, logistics and promotions of key outreach and engagement events/programs, such as, but not limited to: Week of Welcome/Orientation, Open House, Sustainable Development Goals (SDG) Week, Lecture Series, International Week Keynote, and Campus Sustainability Leaders Awards/Celebrate Sustainability Event.
  • Undertake independent work, under the guidance of the SC's Operations Director.
  • Provide back-up support when needed (e.g. vacation and time off coverage support). 

Minimum Qualifications

  • Bachelor's degree in a field related to sustainability, a post-secondary diploma/certificate in administration, business, or project/event management, or an equivalent combination of education and experience.
  • Minimum of 2 years of related office experience.
  • Related experience in similar organizations/post-secondary institutions or large corporate/government environments.
  • Ability to work independently with efficient work systems, be self-managed, and prioritize multiple tasks and overlapping deadlines.
  • Detail and solutions-oriented, well-organized, and excellent interpersonal skills.
  • Excellent communicator, orally and in writing.
  • Open to receiving constructive feedback and open to continuous improvement and learning.
  • Ability to interact professionally with faculty, staff, students and external stakeholders. This includes being very responsive and accountable in all communications.
  • Excellent computer skills, including Google Suite. 

Preferred Qualifications

  • Knowledge of sustainability, sustainable development, Sustainable Development Goals, and University of Alberta/Sustainability Council sustainability initiatives.
  • Ability to speak and write fluently in French.
