Working for the Department/Faculty 

At the University of Alberta medical students gain exposure to the emergency department in a number of ways. In their first and second years, student shadowing or observerships allow clinical exposure to emergency medicine. In their third and fourth years, medical students are able to rotate through the emergency departments during their core four-week rotation and as elective rotations. Our Undergraduate program has earned numerous teaching awards due to the enthusiastic faculty that deliver daily one on one teaching during a student's rotation. Rotations in the emergency department are often the first exposure to acutely ill, undifferentiated patients that students will have during their training. Knowledge of emergency medicine is valuable in every area of medicine and is likely to be one of the more memorable and exciting rotations during medical school.

Position 

The Medical Education Program Assistant will provide day-to-day administration to the Undergraduate Program in Emergency Medicine at the University of Alberta.  This position involves coordinating the Emergency Medicine rotations for all Year 4 medical students, electives in Emergency Medicine for medical students in Years 1 and 2 (pre-clinical) and Years 3 and 4 (clinical) at the University of Alberta, and Years 3 and 4 at medical schools across Canada.   

Duties 

  • Assists in coordinating the function of the department as it relates to undergraduate medical education such as site assignment, evaluation processes, scheduling, committee business, end-of-rotation exam, simulation sessions, high yield sessions and seminars.
  • Schedules each student at a specific hospital site for their rotation, distributing orientation packages for each hospital site to each student rotation.
  • Assists all Site Directors in all aspects of running the mandatory fourth-year rotations as well as electives and shadow students.
  • Requests EDIS (Emergency Department Information System) access through AHS for students at all sites except Sturgeon and confidentially distributes their EDIS log-in information, and ensures students are provided with user names and passwords through the Alberta Health Services Information Systems.
  • Schedules student seminars and ensures seminar hand-outs are available for students on Cally and online Google Site for MED 558.
  • Coordinates with the simulation EM group with respect to the simulation session during each rotation.
  • Coordinates and proctors the MCQ examinations for the students at the end of each rotation.
  • Maintains and updates Year 4 student records (web-based on Cally, assess.med., and/or paper).
  • Schedules Emergency Medicine Electives for medical students.
  • Updates the Emergency Medicine website with regards to undergraduate students' rotations/elective schedule and seminar schedule.
  • Collects, collates, and assists with drafting faculty feedback.
  • Schedules and organizes the Emergency Medicine Undergraduate Education Committee meetings.
  • Schedules and organizes the Department of Emergency Medicine Education Committee (DEMEC) which includes both the Postgraduate and Undergraduate programs.
  • Attends UME Clinical Administrators' (once per month) and other meetings as required.
  • Coordinates the Advanced Cardiovascular Life Support (ACLS) and Basic Life Support (BLS) renewal courses for Year 4 Medical Students every April. This includes liaison with the Alberta Heart and Stroke Foundation Resuscitation Education Resources staff, EM planning group, residents, and the UME office.
  • Coordinates the Advanced Cardiovascular Life Support (ACLS) and Basic Life Support (BLS) courses for Year 3 Medical Students every August. This includes liaison with the Alberta Heart and Stroke Foundation Resuscitation Education Resources staff, EM planning group, residents, and the UME office.
  • Creates and updates orientation documents for rotation and elective students.
  • Responds to student inquiries regarding rotations and electives in Emergency Medicine.

Qualifications

  • High School Diploma supplemented by course work in Office Administration; medical terminology knowledge would be an asset.
  • Minimum of two years of related office experience with data entry skills and experience working with students.
  • Computer proficiency using Cally Web Evaluation and MS Office applications.
  • Computer proficiency using literature search engines and database management.
  • Excellent oral and written communication, problem-solving and organizational skills.
  • Attention to detail with the ability to meet firm deadlines.
  • Ability to maintain confidentiality with staff and trainee physicians.
  • Working knowledge of the Undergraduate Medical Education administrative system.
