Established in 2021, Shared Services is a growing unit responsible for supporting the university in its human resources, finance and IST administrative processes.  We are fortunate to work with faculty, staff, students, alumni, external vendors and many other third parties.

Position

Shared Services is seeking a smart, approachable, team-orientated individual to join our team as a Payroll Administrator.

The Payroll Administrator play a crucial role in ensuring the accuracy and efficiency of the university’s payroll and is responsible for the day-to-day payroll administration. Makes necessary adjustments to employee payroll records to ensure appropriate calculations are processed in a timely manner and in compliance with various legislative requirements.

Duties

  • Processes all pay actions as a result of employee Lifecycle changes which are pay-impacting transactions including time and labour transactions for employees, regular and exception pay, retro, and supplemental pay. Processes and verifies all voluntary employee deductions.
  • Accurately calculate and process payments related to employees, persons of interest, undergraduate and graduate students, tuition remission, scholarships, in the payroll system as per the terms and conditions that apply to each employee group with adherence to payroll processing timelines.
  • Reviews wages, pay action reports, computes and corrects errors to ensure accuracy of payroll, appropriate taxes are withheld and the correct benefits are applied.
  • Reconciles vacation balances; calculates severance amounts and other payments that may be applicable on terminations, layoffs, contract end dates and retirements.
  • Processes account changes, and salary benefits adjustments. Identifies, troubleshoots and resolves transactional issues. Escalates broader, more complex issues to Manager Payroll Services.
  • Investigates overpayments to determine the reason for the occurrence. Computes manual calculations to determine the overpayments and finalize the terms of repayment with the employee and department.
  • Evaluates and determines off-cycle payments for the appropriate pay cycle. Submits requests for approval to Manager Payroll Services.
  • Performs manual calculations of retroactive pay or other pay adjustments as necessary and enters into pay lines or additional pay.
  • Calculates additional CPP premiums when exemption limits are reached and enter additional CPP on pay lines.
  • Provide support during audits by preparing payroll documentation and reports.
  • Responds to employee questions related to taxes, deductions and assists in resolving issues with direct deposit.

Qualifications

  • Canadian Payroll Association PCP certification.
  • Two years of directly related full-cycle pay administration experience.
  • Familiarity with payroll software and systems especially experience with PeopleSoft HCM is an asset.
  • Knowledge of the University of Alberta’s HR policies & procedures and collective agreements.
  • Excellent interpersonal skills and the ability to work collaboratively within an integrated service culture and team.
  • High attention to detail, ability to meet strict deadlines and perform multiple competing tasks and prioritize workload.
  • Must have strong listening skills and be able to communicate with the diverse multicultural community of the University.
  • Ability to troubleshoot payroll discrepancies and resolve issues promptly.
  • Critical thinking to improve payroll processes and ensure compliance.
  • Focus on service excellence in providing responsive service with empathy, respect,  diplomacy and professionalism.
  • Excellent written and verbal communication and interpersonal skills.
