Working for University Services, Operations & Finance
Campus Operations & Services, under University Services Operations & Finance, supports the University of Alberta through a range of essential services and work for operating, maintaining and renewing infrastructure across our campuses.
Position Summary
This Position is responsible for supporting and facilitating the submission of exception pay forms, and communicating employee status changes and related pertinent information to the appropriate leaders. The incumbent will be the initiator of many items now being processed by Shared Services. These items will include updates to employee records, appointments/reappointments and changes to roles. Additional duties include keying absences into our Work Order Management System (AiM) and PeopleSoft HCM, generating reports, reconciling payroll and submitting corrections when required.
They support all the requirements of managing the employee records and unique payroll needs of our Supplemental trades group and associated unions. They will work closely with our Systems control team to ensure information is managed correctly and entered timely into AiM.
They will continually search for, implement and communicate process improvements that support the work of the Campus Operations & Services units. In addition to responding to inquiries from staff and managers regarding specific processes, this position researches and compiles information and responds to questions as requested by the HR Partners.
Duties
Department Time & Labor Coordination
- Act as an administrator for the internal Work Order Management System (AiM).
- Review employee time entries and supporting documentation for accuracy, compliance to policy, the collective agreement(s), employment standards and appropriate authorizations.
- Enters timecards and makes adjustments in AiM, confirms they are submitted appropriately and contain proper signatures/authorizations.
- Identifies, troubleshoots, and resolves transactional issues, and corrects errors. Escalates broader, more complex issues.
- Time and labor review and retrieval within AiM and PeopleSoft HCM.
- Works with Shared Services on any unique or challenging Time & Labor situations.
- Determines accurate exception pay amounts (shift diff, overtime), calculates payout for responsibility pay, reconciles vacation and provides bank time payout balances to Shared Services.
HR Initiation & Coordination
- Coordinates and initiates various activities (eForms/ePAFs, speed code change requests, one-time payments, leave requests, responsibility/acting pay, position information change forms, appointment/re-appointment requests, terminations, etc.).
- Administers Registered Apprenticeship Program and Supplemental Apprentice program.
- Pension contribution remittance.
- Remits payments for outside trade union agreements/benefits.
Minimum Qualifications
- High school diploma.
- 5 years in a maintenance operations environment.
- Strong understanding of UAPPOL, Collective Agreements (NASA, AASUA, GSA) and Employment Standards.
- Excellent computer skills including proficiency in use of database, spreadsheet and word processing software.
- Demonstrate ability to develop and maintain positive, professional, collaborative working relationships with all stakeholders at all organizational levels.
- Demonstrate ability to work independently and collaboratively.
- Demonstrate ability to manage time and workload effectively and meet deadlines.
Preferred Qualifications
- A Diploma in Business is considered an asset.
- Work order management experience preferred.
- Working knowledge of PeopleSoft HCM system preferred.
