Working for Shared Services
Established in 2021, Shared Services is a growing unit responsible for supporting the university in its human resources, finance and IST administrative processes. We are fortunate to work with faculty, staff, students, alumni, external vendors and many other third parties.

Reporting to the Team Lead Workforce Administration, the HRIS Administrator is a key role for supporting the effective and efficient administration of employee lifecycle updates. Primarily responsible for providing critical administrative support to the Employment Services team through timely data entry, the HRIS Administrator processes validated eforms, Pay action forms, and employee lifecycle requests, verifying and maintaining accurate data and documentation related to employee changes within PeopleSoft HCM.
Duties
- Maintains HR data integrity and ensures confidentiality of employee information.
- Enters data for union and excluded employees, following Collective Agreements and internal procedures.
- Ensures transactions are accurate, compliant, and supported by required documentation.
- Performs data audits, correcting discrepancies to ensure completeness, consistency, and accuracy in PeopleSoft HCM.
- Creates and maintains position data records.
- Manages performance increment and probation notification processes.
- Reviews, monitors, and addresses exception reports.
- Supports HCM system updates and enhancements by providing business knowledge and participating in testing.
- Advises Shared Services HR staff, general administrators, and supervisors on performance increments, recurring terms, POI, and student programs.
- Documents HR transaction procedures in PeopleSoft using flowcharts, screenshots, and step-by-step instructions.
- Collaborates with HR teams to ensure timely job transaction processing.
Qualifications
- Postsecondary diploma in Human Resources, Accounting, or related field.
- Minimum two years of experience in a large organization, preferably post-secondary, with hands-on experience using an enterprise management system (PeopleSoft HCM or similar).
- Strong knowledge of provincial and Canadian legislation, collective agreements, and handbooks.
- Proficient in PeopleSoft HCM or other Human Capital Management systems.
- Exceptional client service skills focused on understanding and exceeding client needs.
- Excellent verbal and written communication skills for providing constructive feedback and addressing concerns.
- Experience managing high-volume transactions under tight deadlines and competing priorities.
- Collaborative team player, working effectively with diverse groups to achieve results.
- Creative problem solver, offering clear and detailed solutions.
