Working for the Department of Medical Microbiology and Immunology

The Department of Medical Microbiology and Immunology at the University of Alberta is a research-intensive unit that pursues dynamic projects in the areas of bacteriology, immunology, and virology. Our research foci include host-pathogen interactions, virus infection and replication, immune responses to pathogens, bacterial pathogenesis, as well as autoimmunity and cancer immunology. Our research goals are to create and improve therapeutic agents, vaccines, and physiological interventions to improve health and diminish or prevent disease. Our strong graduate student program prepares graduates for entry into exceptional careers over a wide spectrum of areas and diverse capacities.

Position Summary

Reporting to Dr. Matthias Gotte, Professor in the Department of Microbiology & Immunology (MMI) and Director of Striving for Pandemic Preparedness - The Alberta Research Consortium (SPP-ARC), the Government of Alberta awarded the University of Alberta a $55.1 M grant to develop a pandemic preparedness program. With this grant, scientists at the University of Alberta are building capacity in this area and founded SPP-ARC: Striving for Pandemic Preparedness – The Alberta Research Consortium. The Program Coordinator position will provide administrative and program support to the Director and SPP-ARC’s research program. The position is responsible for supporting the various initiatives of the program, which includes organizing regular committee meetings, communicating with members, event planning, providing assistance with grant writing activities, progress monitoring and reporting.

Duties 

Program Administration

  • Works closely and cooperatively with all parties involved in the program, including members and external stakeholders.
  • Maintains progress reports and a database related to funding requests, funded research projects, and progress reports.
  • Schedules weekly Executive Committee meetings, determines the agenda in consultation with the Director and contributes to the discussion.
  • Records minutes and actions items of these meetings which are chaired by the Director.
  • Works closely and cooperatively with FoMD, the office of the VPRI and other stakeholders across campus, shares best practices and promotes partnership opportunities.
  • Provides administrative support to the Director, including preparation of various reports and CV updates, as required.
  • Assists the financial officer in financial reporting with the collection of relevant data.
  • Tracks and maintains the current funding portfolio of $55.1 million dollars offered by the program. The current funding portfolio includes infrastructure, training and operating components.
  • Liaises with the financial officer to coordinate purchases, oversees inventory management related to office and selected labs and core facilities as needed.

Event Planning and Coordination – With direction from the Director, SPP-ARC, this position organizes and coordinates annual retreat, symposia, conferences, workshops, etc.

Research Responsibilities – Assists with grant writing to pursue internal and external funding: collates information and assembles grant documents in a clear, concise and compelling manner, including drafting a budget, initial content, packaging and submitting the final document.

Qualifications

  • Master’s degree (PhD preferred) in a related discipline.
  • Minimum of 3 years of experience in program/project administration.
  • Knowledge of administrative structures, policies and procedures within the University of Alberta, as well as University of Alberta systems.
  • Excellent written and oral communication skills, organizational and interpersonal skills.
  • Experience in project management.
  • Experience with financial management, analysis and reporting skills.
  • Motivated and flexible team player with the ability to prioritize and meet tight deadlines.
  • Ability to identify and address key administrative issues.
  • Proficient as a computer user with various programs, including Microsoft Office.
