Working for the School of Public Health 

The School of Public Health (SPH) is in the process of expanding it’s undergraduate course offering. SPH successfully launched SPH 200 in the 20234/24 academic year, with over 700 students enrolled. SPH will continue this success by adding a winter semester class of SPH 200, as well as an additional 2 300-level courses. In the 2025/26 academic year, another 2-3 300-level courses will added.

Position Summary

The School of Public Health (SPH) currently has about 300 graduate students in course based Master's degrees and thesis-based Master's and Doctoral degrees. Approximately 20% of the students are international students. The Faculty provides graduate students with over $1 million of financial support annually.

Under the direction of the Education Programs Lead, and working closely with the Associate Dean (Education), the Educational Programs Advisor supports the effective delivery of the School's graduate programs, responsible for advising continuing and prospective graduate students; evaluating applications for admission; evaluating domestic and international credentials; ensuring graduate program administration requirements are met including the establishment of supervisory and examination committees; and working with supervisors and School administrators to ensure graduate financial support including the effective use of faculty graduate assistantship funds and facilitating graduate award nominations. The Educational Program Advisor enhances graduate student success by ensuring supervisor and student compliance with Graduate & Postdoctoral Studies (GPS) and School of Public Health degree program requirements.

Familiarity with GPS policies, FOIPP, student services, and accommodation of students with disabilities is required. The position requires an understanding of university graduate programs, excellent communication and organizational skills with the ability to work both independently and as a team member, the ability to be innovative in solving problems and facilitating solutions, and the ability to work under challenging time constraints.

Duties 

  • Advise and support current graduate students, ensuring compliance with academic regulations, supervision, and program progression.
  • Coordinate examination processes (candidacy, thesis defense) and convocation clearance.
  • Serve as the primary liaison between students, faculty, and FGSR for program requirements and exceptional cases.
  • Manage and maintain confidential academic records and correspondence for graduate programs.
  • Administer graduate financial support including awards, assistantships, and funding nominations.
  • Evaluate domestic and international admissions applications, including GPA conversions and credential assessments.
  • Provide committee support by preparing agendas, records, and distributing documentation.
  • Coordinate course evaluations, ethics/professional development training, and graduate assistantship assignments.
  • Support updates to the academic calendar, intranet, and website; assist with manual registrations.
  • Participate in student recruitment, strategic planning, and collaboration with other university departments.

Qualifications

  • Minimum of a Bachelor's degree; equivalent combinations of education and experience will be considered.
  • 2-3 years of related experience in a large/complex organization, which includes undergraduate student experience, with preference for experience in a post-secondary educational environment.
  • Familiarity with the University of Alberta Registrar policies and procedures is an asset.
  • Experience working with Campus Solutions.
  • Excellent computer proficiency in all Microsoft (Word, Excel, PowerPoint, etc.) and Google (Docs, Forms, Sheets) applications required.
  • Excellent communication (verbal and written), organizational and attention to detail skills.
  • Ability to multitask and work under challenging time constraints.
