Working for the Postgraduate Medical Education Office

The Postgraduate Medical Education (PGME) Office is responsible for the administration of close to 1000 trainees in over 60 accredited programs within the Faculty of Medicine and Dentistry in the College of Health Sciences. The PGME team includes 19 administrative positions and 8 directors governed by the Associate and Assistant Deans. Our mission is to support the trainees (residents and fellows), program directors, supervisors, administrators and faculty members involved in postgraduate medical education. 

Position Summary

The Postgraduate Medical Education (PGME) Team Lead is a key leadership role within the Faculty of Medicine & Dentistry's PGME Office at the University of Alberta. Responsible for guiding a team that supports over 950 trainees across 65+ clinical training programs, the Team Lead plays a pivotal role in overseeing administrative functions related to fellowship and non-accredited programs. Reporting to the Manager, Administration, the Team Lead supports PGME governance, operations, and continuous improvement initiatives.

This position fosters collaboration across multiple partners, including faculty, medical education administrators, the Royal College of Physicians and Surgeons of Canada, and Alberta Health Services. With a strong focus on leadership, education administration, and partner engagement, the Team Lead ensures smooth delivery of high-quality medical training programs while contributing to strategic planning, policy development, and staff mentorship.

Duties

  • Supervise and mentor a team of administrative staff; conduct performance evaluations and foster professional development
  • Lead and improve administrative processes supporting postgraduate fellowships and non-accredited programs
  • Oversee onboarding, registration, and coordination of over 150 fellows annually
  • Provide technical guidance and act as a resource for fellowship program administrators, directors, and other partners
  • Represent PGME on university, provincial, and national committees, including AFMC Postgraduate Managers Committee
  • Support accreditation and compliance processes with internal and external regulatory bodies
  • Develop, implement, and maintain PGME policies, procedures, and communication tools (e.g., newsletters, web content)
  • Provide data reporting, budget support, and event planning (e.g., trainee orientation, awards)
  • Promote equity, diversity, and inclusion in all facets of leadership and service delivery

Minimum Qualifications

  • Undergraduate degree in business, education, administration, or a related field; equivalent combinations of education and experience will be considered
  • Minimum 5 years of progressive administrative experience in a complex academic or medical education environment
  • At least 2 years of experience supervising staff in a unionized environment
  • Demonstrated ability to manage confidential information, complex procedures, and competing priorities
  • Excellent interpersonal, coaching, and conflict-resolution skills
  • Strong organizational, communication, and technical writing abilities
  • Proficiency with Microsoft Office, Google Workspace, Zoom, and administrative systems such as PeopleSoft, Cascade, and Campaign Monitor

Preferred Qualifications 

  • Experience with postgraduate medical education programs or fellowship administration
  • Prior supervisory experience at the University of Alberta
  • Familiarity with accreditation standards from the RCPSC or CFPC
  • Graduate of the University of Alberta's Supervisory Leadership Program or Management Intensive Program
  • Knowledge of FOIP, records management, and partner communication best practices
