The Department of Medicine is the largest department in the Faculty of Medicine & Dentistry at the University of Alberta with over 200 academic faculty members and over 400 trainees (graduate students, postdoctoral fellows and residents).  The Department of Medicine's core mission is to undertake outstanding education, research and high-quality clinical care to provide the best possible health outcomes for Albertans.  We have 14 divisions that work collaboratively in a multi-disciplinary, multicultural and ethnically diverse collegial environment.

Position Summary

The Clinical Academic Staff Compliance Specialist (CASCS) is a key member of the Department of Medicine at the University of Alberta, supporting over 450 Clinical Academic Colleagues (CACs) across 14 divisions. Reporting to the Academic Department Manager and working closely with the Department Chair, Academic Development Officer, Academic Staff Compliance Specialist, and Alberta Health Services (AHS) partners, the CASCS ensures seamless coordination of the clinical faculty lifecycle. This includes appointments, evaluations, remuneration, promotions, and terminations, while aligning practices with university and AHS policies.

This position plays a critical role in fostering operational excellence in clinical workforce planning, supporting academic contributions, and maintaining compliance with institutional and provincial requirements. The role involves both independent work and collaboration across university and AHS networks, offering the opportunity to shape and sustain the Department’s clinical academic mission.

Key Responsibilities

  • Manage appointment, reappointment, and termination processes for Adjunct and Clinical Academic Colleagues (CACs), including Clinical Emeriti.
  • Oversee annual reporting and stipend administration for clinical teaching and remuneration (~$1M budget).
  • Coordinate annual merit review and clinical promotions processes, ensuring alignment with Faculty guidelines.
  • Track compliance and reporting for AMHSP-affiliated clinical faculty, including contract renewals and TRAS appointments.
  • Collaborate with AHS on physician privileges, contract administration, and probationary reviews.
  • Develop and maintain clinical faculty policies, templates, and departmental web resources.
  • Act as a primary contact for CAC-related inquiries and administrative troubleshooting.
  • Provide backup support to the Academic Development Officer and Academic Staff Compliance Specialist as needed.

Minimum Qualifications

  • Post-secondary diploma or degree in a related field; equivalent combinations of education and experience will be considered.
  • Minimum 7 years of administrative experience, ideally in a clinical academic department.
  • Proficiency with MS Office, Google Workspace, and PeopleSoft (asset).
  • Strong organizational, interpersonal, and communication skills.
  • Proven ability to analyze and solve complex issues with attention to accuracy and deadlines.
  • In-depth knowledge of AHS and University procedures related to clinical academic appointments and documentation.
  • Ability to deliver information sessions and liaise effectively with leadership, faculty, and administrative colleagues.

Preferred Qualifications

  • Experience with faculty lifecycle processes (e.g., merit, promotion, appointment, reappointment).
  • Familiarity with the University of Alberta and AHS systems, policies, and forms.
  • Experience handling confidential information and compliance-sensitive processes.
  • Ability to draft communication materials and support policy and template development.
