The English Language School (ELS) in the Faculty of Education provides language training and support for undergraduate and graduate student programming, as well as short-term study abroad programs for international students from diverse cultures. The ELS is home to our Student Engagement Centre (SEC) and provides training for international Bridging Program (BP) and Year One Foundation Program (YOFP) students.

Position

Under the general supervision of the Director, the Coordinator, English for Academic Purposes (EAP) will set up, organize and coordinate activities necessary to successfully deliver the English for Academic Purposes program, including the EAP components of the UAlberta Bridging Program and Year One Foundation Program (YOFP). This includes student registrations, transfers, and withdrawals in both the core credit and non-credit sections of EAP courses, as well as other courses offered by the English Language School (ELS). The EAP Coordinator is a key contact for both the students and BP participating faculties. The incumbent will be responsible for providing student advising on issues related to students' EAP/BP/YOFP studies, communicating ELS and University policies and procedures to ELS students, tracking enrolment statistics, and reporting on enrolment trends. As such, the EAP Coordinator will be required to work closely with a team of stakeholders: internally, the ELS Director and Assistant Director, teaching staff, and other team members to ensure administrative support is in place to deliver ELS courses. Externally, the EAP coordinator will collaborate with other campus stakeholders, such as the Bridging Program, Year One Foundation Program and student service advisors at the Registrar Office, along with Faculty student advisors. This interaction is required in order to coordinate campus-wide EAP activities, exchange updates about student progress and facilitate the process of a range of student record management tasks.

Apart from administrative duties mentioned above, the EAP Coordinator will be responsible for directing international students at ELS and their dependents to the appropriate office on campus regarding study permit related matters.

The EAP Coordinator is expected to be student-focused and provide high-quality support to our students and teaching staff.  They will provide in-depth program and course-related information to students while ensuring the confidentiality of personal and financial information is maintained at all times. The successful candidate will be customer service- and people-oriented and requires the ability to deal promptly, efficiently and professionally with multiple simultaneous requests for information, as well as the ability to prioritize tasks and meet stringent deadlines.

Duties

  • Coordinate all aspects of student registration, planning, and daily operations for the English for Academic Purposes (EAP) program and the EAP component of the Bridging Program and Year One Foundation Program, ensuring smooth and efficient processes
  • Provide comprehensive administrative support to EAP instructors, including preparing class lists, managing Canvas setups, and addressing their needs throughout the academic term
  • Serve as a key point of contact for current and prospective students, offering guidance on admission requirements, application status, course registration, and relevant university policies and procedures
  • Monitor student enrollment data, track progress, identify students requiring intervention, and students who are required to be withdrawn
  • Collaborate effectively with various university departments, including the Student Engagement Centre, Bridging Program advisors, and faculty student advisors to ensure seamless program delivery and student support
  • Contribute to the continuous improvement of EAP, Bridging Program, and Year One Foundation Program processes by developing and enhancing registration tools, conducting evaluations, and assisting with special projects and other administrative duties as required

Minimum Qualifications

  • Post-secondary baccalaureate degree required; equivalent combinations of education and experience will be considered
  • Proficiency in a Windows environment using MS Office applications (Word, Excel) and Google Products (Gmail, Docs, Sheets, Sites)
  • Excellent verbal and written communication skills and the ability to work well in a student-focused environment with multiple demands made on time and resources in an multi-cultural environment
  • Ability to handle difficult situations with patience, diplomacy and sensitivity
  • Demonstrates initiative, resourcefulness, and willingness to accept responsibility; ability to work well under pressure and meet deadlines
  • Interpersonal, organizational and time management skills required with demonstrated accuracy and attention to detail
  • Ability to respond in a prompt and friendly manner to requests and inquiries including cross-cultural sensitivity

Preferred Qualifications

  • Preferred experience in a post-secondary educational setting that includes student advising
  • Solid knowledge of Campus Solution
  • Strong understanding of current technologies is an asset
  • Working fluency in a language other than English is an asset
  • Working knowledge of UAlberta policies and procedures
  • Experience working in an intercultural environment
