Location - This role is hybrid with a mix of remote and in-person. Work primarily takes place at Enterprise Square, Downtown, Edmonton.

Working for the External Relations 

The goal of Donor Relations is to ensure donors feel connected, informed, valued, and respected. Through a collaborative and donor-centric approach, the Donor Relations team provides strategic advice, guidance, and support to the External Relations community by helping to build positive long-term relationships with donors and prospects. Key areas of expertise include accurate and timely gift acknowledgement, events, awards and endowment reporting, recognition, engagement and the development of impact reports.

Position Summary

The Donor Relations Coordinator provides program-specific support for Donor Relations programs and initiatives, reporting to the Manager, Donor Relations. This includes, but is not limited to, coordinating the logistics and administration for programs and services that ensure donors who support the University of Alberta are appropriately acknowledged, stewarded, recognized and engaged.

Duties 

  • Assists in the production of Donor Relations materials, including customized impact reports, chair/professorship reports, and other outreach and related materials.
  • Drafts thank-you letters to donors, coordinates the production of video messages to donors using ThankView and Campaign Monitor, and coordinates acknowledgements for first-time donors.
  • Assists with the information and business process required to inform donors of the student recipients of their funded awards.
  • Initiates, identifies and sources potential student content for online, print, and other forms of communication for donors.
  • Creates Entity Tasks for Endowment Fund Reports, Chair Reports, Notice of Recipient, and student thank-you letters; enters Contact Reports for acknowledgement letters; and sends documents to Records for upload to Alfresco.

Minimum Qualifications

  • A bachelor's degree in a related field
  • Minimum 3 years of experience in Donor Relations or Development, within a post-secondary institution or large, complex organization, OR Minimum 3 years of experience in customer or client relationship 
  • Adaptable, agile and technologically savvy; advanced capability with MS Office suite, Google Applications, Adobe Creative Cloud (InDesign), and ability to learn other systems such as CRM and email programs
  • Strong knowledge of information systems such as Ellucian Advance and Tableau is considered an asset
  • Demonstrated ability to work collaboratively in a team environment while managing competing priorities
  • Ability to meet deadlines and prioritize work effectively

Preferred Qualifications

  • Excellent communication skills, including spelling, grammar, editing, and proofreading
  • Proven ability to interact effectively with varied audiences, with demonstrated interpersonal and customer service skills: tact, diplomacy, and confidentiality to provide client-focused service
  • Excellent time management, organizational skills and attention to detail
  • Ability to meet deadlines and prioritize work effectively in a fast-paced, high-volume environment 
  • Ability to work independently with minimal supervision
