Working for the Faculty of Nursing
The Faculty of Nursing is ranked #1 in Western Canada. We offer 4 Undergraduate Programs, a Master of Nursing program with various focus areas and a PhD program. Our partners include Faculté Saint-Jean, Red Deer Polytechnic, Keyano College (Fort McMurray) and Northwestern Polytechnic (Grande Prairie).
Our team is comprised of over 30 faculty members, over 30 Teaching Professors, over 100 lecturers, and over 100 research and support staff. Our student body includes 1,450 undergraduate students and over 200 graduate students.
Position Summary
Are you highly organized and detailed-oriented? Do you embody service excellence and enjoy collaborating to find solutions? The Faculty of Nursing is looking for an Operations Coordinator to provide facilities and administrative support services to contribute to the success of the Faculty!
Reporting to the Manager, Administrative Services (MAS), this position works closely with several internal and external parties and assists with facilities support, space administration, donor and alumni administration and coordination, and provides administrative assistance to the MAS, FGM, and the Assistant Dean, Development. This role includes a wide variety of diverse tasks across different areas, requiring the ability to independently seek out work, prioritize responsibilities and manage time effectively. The successful candidate will bring a service excellence outlook to the role and work collaboratively with others to support both researchers and administrators!
Please note that this role is fully in-person and may be required to occasionally work evenings or weekends to support events.
Duties
Administration and Coordination:
- Provides coordination and support for Faculty, alumni, and donor relations events
- Creates, maintains, and improves spreadsheets and databases
- Compiles reports and briefing notes for review based on surveys or other resources
- Provides Advancement administrative support and supports stewardship activities
- Processes purchase requisitions, purchase orders, and invoices through SupplyNet and manages the Faculty of Nursing Shopify account
- Evaluates effectiveness of workflow processes and re-designs or develops for efficiency
Facilities and Security:
- Coordinates the allocation of space and security, including maintaining accurate space records and inventories
- Acts as the primary TEMS contact for the Faculty of Nursing
- Manages building access for staff and students across three buildings
- Provides administrative orientation for new staff, contributing to a warm and welcoming environment
Minimum Qualifications
- Post-secondary diploma is required
- 3-5 years of administrative experience, preferably in a post-secondary environment
- Excellent communication skills (both written and verbal)
- Excellent computer skills, including proficiency in use of database, spreadsheet, and word processing software, and Google Workspace
- Strong customer service/service excellence skills and experience
- Ability to proactively troubleshoot and problem-solve in a collaborative manner
- Proven ability to take initiative regarding problems and provide recommendations for decisions that are out-of-scope
- Excellent time management skills with strong attention to detail
Preferred Qualifications
- Strong skills with U of A applications preferred (SupplyNet, BearTracks, Campus Solutions, CASCADE, ADVANCE)
- Knowledge of space management principles strongly preferred
- Knowledge and understanding of UAPPOL preferred
