Position Summary

Reporting to the Academic Department Manager and working closely with the Department Chair, the Operations Process Lead is responsible for supporting and improving HR and administrative processes related to recruitment, onboarding, faculty evaluation, and career development within the Department of Family Medicine.

This role ensures departmental HR and administrative practices align with University and HRHSE policies, serving as a key advisor to faculty and staff on process-related matters. The Operations Process Lead supports academic and clinical promotion processes, resolves complex HR issues using established policies and procedures, and collaborates with HR and institutional partners to drive efficiency, consistency, and strategic planning related to employee engagement and experience.

Duties 

HR Operations and Process Redesign

  • Lead continuous improvement of departmental HR workflows to enhance efficiency and service quality.

Academic & Clinical Faculty Promotion and Review

  • Coordinate and manage timelines, documentation, and communication for academic and clinical faculty promotion and review processes.
  • Provide administrative support for faculty committees and ensure promotion guidelines align with Faculty criteria.

Academic Recruitment and Onboarding

  • Oversee all aspects of academic recruitment, including selection committee coordination, interviews, and contract preparation.
  • Develop and maintain onboarding materials to ensure a smooth and consistent experience for new faculty members.

Supervision and Leadership

  • Supervise the Department Coordinator, including performance management, training, and daily operational support.
  • Promote a collaborative, professional work environment that encourages team development and cross-training.

Strategic Projects

  • Support strategic planning and departmental initiatives in collaboration with the ADM and Chair.
  • Manage project timelines, deliverables, and reporting to ensure alignment with departmental goals.

Minimum Qualifications

  • An undergraduate degree in a related field, such as business or human resources management, is required.
  • Experience working in academic administration or human resources within a fast-paced, high-volume post-secondary environment.
  • High proficiency with Microsoft Office (Excel, Word, PowerPoint), SharePoint, and virtual meeting platforms (e.g., Zoom, Google Meet).
  • Experience using enterprise systems such as PeopleSoft (HCM and Financials).
  • Excellent interpersonal and communication skills, with the ability to provide professional, confidential advice and support to stakeholders at all levels of the organization.
  • Highly organized, detail-oriented, and able to work independently.

Preferred Qualifications 

  • Strong organizational awareness and understanding of the goals and operations of the Department of Family Medicine and the Faculty of Medicine & Dentistry.
  • Knowledge of the University of Alberta’s policies, procedures, and collective agreements, including Faculty Evaluation Committee (FEC) guidelines.
  • Familiarity with applicable employment laws and legislation (e.g., human rights, FOIPP, labour relations, immigration).
