Position Summary

Reporting to the Program Evaluation Specialist, the Data Systems and Evaluation Coordinator is integral to advancing data-driven decision-making, evaluation, and strategic planning within the MD Program at the University of Alberta. The position will encompass data collection, analysis, and visualization, developing robust reporting strategies, including interactive dashboards, to provide senior leadership with critical insights into medical education delivery and institutional effectiveness. A key responsibility involves the design, management, and maintenance of the MD Program’s new education database, ensuring data integrity, security, and confidentiality. Furthermore, this role will support program evaluation, accreditation, and quality improvement initiatives, contributing to the evaluation of educational outcomes and informing wider MD Program policy and FoMD mandates.

Duties 

Database Design, Management, and Maintenance (40%)

  • Design, develop, and maintain a large, complex relational education database, collaborating with end-users to meet evolving data needs.
  • Update and integrate data into the database regularly.
  • Perform verification checks and clean data to ensure dataset accuracy and compatibility.
  • Prepare and integrate datasets into the database.
  • Extract and provide data files as requested on a regular and ad-hoc basis.
  • Maintain accurate records of data, including requests, operational definitions, coding descriptions, and database changes.
  • Identify and resolve data issues by collaborating with various data stewards.
  • Design and document procedures and processes for data collection, processing, cleaning, and overall data management.
  • Establish work plans, timelines, and resource requirements for database management.
  • Ensure compliance with confidentiality and data security requirements, adhering to best practices for sensitive information.
  • Manage platforms and software used for data collection and sharing.

Data Collection, Analysis, Visualization, and Reporting (40%)

  • Design and execute online surveys and other mechanisms to gather learner input.
  • Collect and integrate extant data from diverse internal and external sources, ensuring regular updates for evaluation and accreditation purposes.
  • Analyze and synthesize large, complex datasets to identify key findings, evaluate learner outcomes, and inform evidence-based decision-making.
  • Conduct statistical and geospatial analyses to assess progress toward strategic objectives and support policy development.
  • Develop and implement strategies for data display, visualization, and knowledge translation, including interactive dashboards and customized reports using tools such as Tableau.
  • Generate and produce routine, standard, and ad-hoc reports for various stakeholders, including senior leadership, committees, and external partners.
  • Prepare and deliver presentations on data findings and the database itself to diverse audiences.

Evaluation and Quality Improvement (20%)

  • Provide consultative support by delivering tailored reports and analyses, and assisting with survey-based evaluation and research.
  • Ensure the accuracy of all oral and written data summaries and reports.
  • Conduct literature reviews to ensure data analysis and coding incorporate established theories and external evidence.
  • Coordinate the analysis of evaluation and student feedback data, including verification and correction, using statistical and qualitative analysis software.
  • Develop recommendations based on evaluation and outcome data to inform decisions by program leaders and committees.
  • Develop new or update existing processes, procedures, tools, systems, and resources for evaluation activities.
  • Contribute to the identification of key research and evaluation needs to support strategic planning.
  • Troubleshoot issues and respond to student, staff and faculty inquiries related to assigned work.  
  • Contribute to the development and improvement of Program Evaluation Unit processes to increase their efficiency and effectiveness.  
  • Perform other duties as required to ensure the successful completion of assigned work. 

Minimum Qualifications

Education

  • University degree preferably in social sciences and/or specialization in quantitative data and analysis, with preference for those with a graduate degree (Masters or PhD). 
  • Certificate in database management training is an asset.

Experience 

  • Minimum of four years of data management and/or data analytic services experience or the equivalent combination of education and experience.
  • Experience managing high volumes of data and experience working within datasets is preferred. 
  • Demonstrated experience in providing data management and data analytic services in a professional environment is required, including data analysis, reporting, and visualization, including displaying large amounts of data in a concise and easy to understand manner.
  • Ability to analyze, interpret, and effectively report on large complex datasets.
  • Demonstrated ability in building and maintaining complex, relational, longitudinal databases.

Preferred Qualifications 

  • Experience in survey research including project management, client management, as well as questionnaire design, sample design, and report writing for a non-technical audience is an asset.
  • Demonstrated written and oral communication skills are required; writes clearly, informatively and communicates effectively. 
  • Excellent attention to detail and high level of accuracy. 
  • Ability to work independently and as part of a team to meet targets and goals.
  • Strong time management skills and ability to prioritize effectively and plan ahead.
  • Proven ability to define problems, collect data, establish facts and draw valid conclusions.
  • Ability to maintain confidentiality and manage confidential information. 
  • Strong commitment to social accountability and cultural safety.
  • Computer proficiency in office applications and electronic learning platforms (e.g. Google Suite, MS Office, Cally).
  • Highly developed organizational and problem-solving skills.
